How Genesis Artistic Landscapes handles information in Genesis Operations Hub, and how to contact us about your records.

About this policy

Genesis Artistic Landscapes (“Genesis,” “we,” “us”) uses Genesis Operations Hub at app.genesisartistic.com to manage its business operations. This policy covers information processed through team accounts, customer proposal pages and connected services in the Hub. Smash Creative Group develops the Hub for Genesis and may provide technical support on its behalf.

This policy covers the Hub. The public marketing website has a separate Genesis website privacy policy. Intuit and other external services have their own privacy policies.

Information we process

  • Team accounts: names, email addresses, roles, active status, password hashes, sender preferences and account-recovery records. Password-reset and invitation tokens are stored in hashed form.
  • Customer and property records: contact names, email addresses, phone numbers, property addresses, notes and customer relationships entered by authorized staff.
  • Operations records: estimates, proposals, project details, labor hours, material usage, inventory, supplier and purchase-order information, and uploaded images or documents.
  • Proposal acceptance: the signer’s name, signature image, IP address, acceptance time and the accepted proposal version.
  • Connection and activity records: QuickBooks company identifiers and authorization tokens, synchronization status, user actions, email-submission records, and technical or security logs. IP addresses are also used to limit account-recovery requests.

Information comes from users, authorized Genesis staff, customers responding to proposals and services connected with authorization.

How we use information

  • Provide accounts, control access and support password recovery.
  • Prepare estimates, send proposals, record customer approvals and coordinate projects.
  • Track labor, materials, purchasing and inventory.
  • Read authorized QuickBooks records and display payment status for matched projects.
  • Send invitations, security notices, proposals, follow-ups and related business communications.
  • Troubleshoot problems, maintain business records, prevent misuse and respond to support or privacy requests.

QuickBooks information and your choices

The Hub connects to QuickBooks Online only after an authorized representative signs in with Intuit and grants access to a company. The Hub stores authorization tokens and the company identifier so it can read relevant customer, invoice, payment and credit-memo information, including amounts and balances used for project payment status.

The Hub’s integration reads accounting information; it does not create invoices or record payments in QuickBooks. Imported snapshots and mappings are stored with Genesis’s business records. QuickBooks authorization tokens are used on the server and are not displayed in the team interface. The Hub does not collect your Intuit password.

Authorized staff can disconnect through Settings → QuickBooks. This removes the Hub’s stored connection tokens and stops further reads through the Hub. Imported records, mappings and last-known payment statuses remain until separately removed. To revoke the app’s permission at Intuit, manage its connection in QuickBooks as well. For removal requests, contact Genesis.

Intuit’s handling of information is described in the Intuit Privacy Statement.

Who can access information

Authorized Genesis team members access information according to their roles. Customers receiving a proposal link can view the proposal intended for them. Keep proposal and account-action links private.

Hosting, email-delivery and technical-support providers may process information needed to run and support the Hub. These include Amazon Web Services for the deployed hosting and, when enabled, email delivery, and Smash Creative Group for development and support. Connecting QuickBooks exchanges authorization and accounting requests with Intuit.

We do not sell Hub personal information or use connected QuickBooks information for advertising. Information may be disclosed when required by law, to address a security incident or to protect legitimate rights. Do not enter information you are not authorized to share with Genesis.

Cookies and browser storage

The Hub uses a session cookie for sign-in and a temporary cookie to protect the QuickBooks authorization flow. Browser storage also remembers interface preferences, such as the theme and certain inventory-form defaults.

The Hub does not currently include advertising trackers or third-party behavioral analytics. You can clear cookies and browser storage through your browser settings; doing so may sign you out or reset preferences. The marketing website and external services may use different technologies under their own policies.

Security, storage and retention

The production Hub is hosted on Amazon Web Services in the United States. Its records are stored in a database and uploaded files are stored with the application. Information may also be present in backups and operational logs.

The Hub uses HTTPS in production, password hashing, role-based access checks and limited-use account-recovery links. Protecting information also depends on secure hosting configuration, administrator practices and users keeping their credentials private. No system can guarantee absolute security.

Genesis retains information as needed for business operations, ongoing projects, accounting, security, resolving disputes and applicable legal obligations. Disabling an account or disconnecting QuickBooks does not automatically delete associated business records. Backup copies may remain until replaced or removed through the backup lifecycle.

Access, correction and deletion requests

Contact Genesis to request access to, correction of or deletion of your personal information, or to raise a concern about its use. We may need to verify your identity and authority before handling a request. Some records may need to be retained for legal or legitimate business reasons, and applicable privacy rights depend on your circumstances and location.

Team members can ask their administrator about account access and permissions. Customers can contact Genesis about their proposal or project records. The Hub is intended for authorized business users and customers, not for use by children.

Updates to this policy

We may update this policy to reflect changes in the Hub, connected services or information-handling practices. The current policy and its last-updated date are available here. Material changes will be communicated through an appropriate business channel.
